Midlands Region Registration Guidelines 2010/2011 Season

AN EXPLANATION AND PROCESS

Work on a fully functional on line registration system is nearly complete. However it is felt that introduction of a procedure where part registration was on line and part by conventional means would only cause confusion and thus for this season club, team and member registrations will continue as for previous seasons using downloaded forms which may however be submitted by email with associated payments forwarded by mail with copies of the form

Forms are available on-line from GBHI websites and Regional Secretaries, and when completed can be sent, preferably by e-mail, to both the GBHI MemSec (memsec@gbinline.org.uk) and your Regional MemSec or person responsible for Membership. Where a fee is required a hard copy of the relevant form should accompany the payment

Club/Team Application to GBHI Leagues

Complete the “GBHI Club/Team Application Form” • Complete a Payment to the Region you are registering with (for payment details see later) • This is £25 per Team which you register, to a maximum of £100 per club • This is non-refundable (except in the event that the Club/Team application is not accepted by GBHI, in which case it will be returned in full) • GBHI Regional Executive Committees reserve the right to decline entries, particularly where teams/clubs have outstanding fees due from previous seasons

Send the completed Application Form and Cheque to the appropriate Regional Secretary, with a copy by post or email to the GBHI MemSec, (memsec@gbinline.org.uk)
The Regional Secretary will confirm receipt of the Application Form
• Applications should be received by the Regional Secretary by 30 August 2010 • Applications after this date may result in non-acceptance • All Team Registration Forms must include a Non-Playing Coach and Manager. • The requirement for a non-playing coach is waived for senior teams, i.e. a player with a registered coach’s licence is acceptable.

Team & Player/ Coach/Officials Registration

Complete the “Team Registration Form” for each team to be registered. Complete the “Member Registration Form” for each Player, Coach, Manager and Official to be registered. • Note, for players aged 16 who wish to play up to Seniors then the Player Consent Form must also be completed. • Copy of a birth certificate (or passport or photo driving licence) should be submitted with each Member Registration Form for first time registrations • A copy of a coaching certificate should be submitted with each first time Coach Application at Level 1 or 2. • Associate Coach Applications are allowed for one season only, during which the Associate Coach must attend a Level 1 within three months or first available course whichever is the later. • No Coach, Manager or Official Applications will be processed without a CRB check having been completed, and therefore the applicants CRB reference number should be identified. CRB checks older than 2 years will have to be revalidated by the individual concerned.(During 2010 new regulations are being introduced)

All Members Registration Forms should preferably be e-mailed to the GBHI MemSec. (memsec@gbinline.org.uk) and the Regional Secretary. Postal Applications should be sent to GBHI MemSec, PO BOX 809, Lancaster, LA1 9EH with copy to the Regional Secretary together with the appropriate fee Payment for the appropriate membership fee should be made to GBHI (for payment details see later)

GENERAL NOTES

  1. REGISTRATION FEES

For the 2009/2010 season, the registration fees are as follows:-

Category Fee

Players (all age groups} First age group in each club registered £20 per player , (which includes the £5 Midlands Region subscription) Subsequent age groups (e.g. where a player Is playing up) £5 per age group Coaches £20 per person Officials £20 per person Managers £20 per person Transfer Fee £25 per player

Note 1) Player/Coach/Official/Manager fees are all independent of each other, so if you register in each category then you pay all the appropriate registration fees.

2) An further fee per person may be charged by Regions.to cover additional regional/league costs.

  1. AGE GROUPS 10 & under = Born 2000 or later 12 & under = Born 1998/1999 14 & under = Born 1996/1997 16 & under = Born 1994/1995 18 & under = Born 1992/1993 21 & under = Born 1989/90/91 Seniors = Born 1988 or earlier

  2. NOTES

a) Where players have registered for more than one age group they should only appear on the Team form for their actual (or nearest) age group in each club. They need not appear on additional higher age group Team Forms. The exception to this is the case where a club enters two teams at the same age group. Here the full list of players for each team must be entered on the team Forms. Players cannot be listed for both teams. Transfers between these teams will be subject to the same fees and restrictions as between clubs b) There is no requirement for a team to include a minimum number of players of the particular age group entered. However teams need to be aware that failure to provide a team at a scheduled league game will result in the imposition of a fine equivalent to their and the opposing teams match fees, which must be paid before the team can continue in the league. Commitments at other age groups or in other leagues will not be accepted as a reason for default. Teams need to take this into consideration when making their entries c) No player who owes either equipment or money to GBHI, its Regions, other GBHI registered Clubs or other
Associations with whom reciprocal agreements are in force, will be permitted to register. If equipment or money is
owed by an existing member he/she will have their membership suspended until the outstanding debt is settled. At a Region’s discretion, previously registered Members who are registering for a new Club at the commencement of the new season may be asked to produce a Transfer Form duly signed off by an Official of the former Club which will act as confirmation that no debts are outstanding. No charge will be made for this “Free Transfer”. d) Club Managers, Secretaries and any individual making a separate application should keep electronic records of all application forms before submitting, and to retain this copy for their club records.GBHI cannot accept responsibility for forms lost in the post. e) All correspondence and queries relating to membership will be sent to the Club Official, whose name, address, phone number and email address must be clearly marked on the Team registration Form. Please note it is the Club's responsibility to inform GBHI MemSec (memsec@gbinline.org.uk) of changes to Club Personnel or their contact details. Unless confirmed by another Club Official, all correspondence will be sent to the person named on the Team Registration Form. Telephone messages of such changes are not acceptable. f) 7 working days must be allowed for cheque clearance and processing before a player is entitled to play. Queries should be put by e-mail to GBHI Membership Secretary (memsec@gbinline.org.uk) or the Regional Secretary g) Transfers are only allowed until December 31st 2010. The Transfer Fee is £25. A Club may sign a previously unregistered (with GB Hockey Inline) player at any time but they may not play until their paperwork has been processed and membership confirmed. GBHI will endeavour to turn round transfer applications (and registration paperwork during the normal season) within 10 days, so clubs should note this when making the application. h) The Transfer deadline for 2010/11 is 31st December 2010. Managers should note that the minimum requirement for eligibility to play in the 2011 National Championships (if applicable) is that each player must play a minimum of 4 league matches at that age group. i) Only a maximum of 2 players may transfer from any one team to another team within the same age group in any one season unless their team is folding when their transfers will be dealt with under special conditions.

  1. PAYMENTS

Player/Coach registration forms and money can be handed in by team managers on the first day’s games to the Midlands’s official in the penalty box, HOWEVER a team or player who does not hand forms before the start of their first game will not be able to play regardless.

  1. INSURANCE PREMIUMS

At the time of producing these guidelines, GB Hockey Inline has not had notice of the insurance renewal premium for the new season. The GBHI National Executive therefore reserve the right to levy a subsidy against each CLUB should there be an increase in the premium. This levy would be calculated on a pro-rata basis on the number of players a CLUB has registered in total at the time the levy is introduced.
